5 Insurance Workflows to Automate Before Hiring Another CSR
Before posting that CSR job listing, check whether you're hiring someone to do valuable work or to handle tasks a machine should be doing.
Your CSR team is overwhelmed. The instinct is to hire. Before you do, look at what you're actually hiring someone to do.
If the answer is "copy data between systems, answer the same questions every day, and chase down information that should be at their fingertips" — you don't need a hire. You need automation.
Here are five workflows to fix first:
1. Certificate of insurance requests
High volume, time-sensitive, completely standardized. AI generates COIs from a plain-English request in under a minute. No portal navigation, no template hunting. This is probably your easiest win.
2. Routine client inquiries
"What's my deductible?" "When does my policy renew?" "Can you send me my dec page?" These hit your inbox constantly. An AI assistant connected to your AMS answers them instantly — accurately, with appropriate disclaimers, around the clock. Your CSRs handle the complex stuff. AI handles the repetitive stuff.
3. Renewal data gathering
Sixty to ninety days before renewal, someone on your team starts the grind: gathering updated client info, pulling loss runs, compiling coverage summaries. It's tedious and it happens for every single client. AI does the data gathering and generates draft summaries for producer review.
4. New business intake
Prospect fills out a web form. Then what? Manual AMS entry. Carrier research. Application pre-fill. Document collection. AI handles the intake pipeline — pre-fills from submitted info, matches to likely carriers, routes to the right producer.
5. Claims status follow-ups
Client calls about a claim. CSR calls the carrier. Waits on hold. Gets a two-sentence update. Relays it. Everyone's time wasted. AI checks status proactively and updates clients before they even call.
Don't do all five at once. Pick the one causing the most pain today. Prove it works. Expand from there. The agencies that try to automate everything simultaneously end up with nothing finished.
