Tax Season Is a Client Communication Crisis (It Doesn't Have to Be)
Your accounting firm fields hundreds of routine client questions every tax season. Most of them are already answered in your engagement letters. Nobody reads those.
It's tax season. Your inbox looks exactly like it did last year.
"What documents do I need?"
"When will my return be filed?"
"What's the deadline for estimated payments?"
"Can you send me last year's return?"
Your team knows every answer. But they still respond individually, by email, to every client asking the same questions. Questions that are already covered in your engagement letters — which nobody reads.
This eats hours. During tax season, those are hours you cannot afford to lose.
Client portals don't solve this
If you have a client portal with an FAQ section, you already know the truth: clients don't use it. They email because email is easier than logging into a portal, finding the right section, and hoping the answer is there.
Fifteen years of client portals haven't changed this behavior. You're not going to change it either. So stop trying and meet clients where they actually are.
An AI assistant trained on your firm's information
Not generic tax advice. YOUR firm's engagement letters, deadlines, document checklists, filing procedures, and policies. When a client asks "what documents do I need," the AI responds with your firm's specific checklist for their client type — individual, business, trust, whatever.
It handles the routine questions instantly. It escalates the complex ones to the right person with full context attached. It works at 10 PM and on weekends without your team working at 10 PM and on weekends.
Every hour your staff doesn't spend on routine questions is an hour available for billable work. During a 16-week tax season, that adds up fast.
Build it before March, not during March
The window to set this up is now — while your team can still breathe. By March you're in survival mode and nobody's implementing anything new.
